Privacy policy

Hybrid Offices, respects the privacy of its clients, business associates and website users at all times. Personal information and data you provide to us will be handled according to the regulations and guidelines of the Personal Data Authority. (AVG 25 May 2018)

Processing of personal data:

By using the services of Hybrid Offices and/or providing personal data yourself whether or not through a contact form or and quotation request on the website, Hybrid Offices may process personal data. The following personal data may be processed:

  • First and last name
  • Address details
  • Telephone number
  • E-mail address
  • Bank and payment details

Purpose required data based on the bases authority personal data:

Hybrid Offices processes personal data in the context of its management activities (rental of location for meetings). We do so for the purpose of communicating with you by telephone or email upon request, and/or to contact you in writing (email or postal mail) for, for example, announcements related to your event or to the venue.

In addition, Hybrid Offices may use personal data in connection with an agreement (business or otherwise) entered into. If other activities, including, for example, the provision of offers whether or not on request, are applicable, we will ask and record prior consent (mandatory) to the person and/or company concerned.

Retention period personal data:

Your personal data will be kept as long as is necessary to realize the goals of Hybrid Offices, for which your data was collected. If no agreement is concluded with you or after a termination of the agreement between you and Hybrid Offices, the data will be deleted. As long as a rental agreement applies, financial data will be kept for a period of seven years (determined by law).

Employees:

The employees of Hybrid Offices work according to an internally established code of conduct which meets the requirements of the new personal data authority.

Sharing personal data with third parties:

Hybrid Offices only and only provides personal data to third parties if this is necessary for the execution of an agreement with the party and or person in question (bookkeeper, accountant) or to comply with a legal obligation (tax authorities and or government agency).

Website visit:

The Hybrid Offices site records general visit data, including the IP address of your computer and the time of retrieval and data sent by your browser. This data is used for analysis of visiting and clicking behavior on the website only if applicable. Hybrid Offices uses this information to improve the functioning of the website. This data is not provided to third parties.

If one visits a website of third parties, the visitor is responsible to check how his/her data is processed, the visitor should consult the privacy regulations of the website of the third party in question.

Cookies:

Cookies are stored on the hard drive of your PC and make it easier and faster for you to surf the Web because previously visited websites already know the computer. Thus, you do not have to enter certain data again and again during repeated visits. Almost all leading websites use cookies to optimize Internet traffic. Because cookies contain data about visitor numbers and pages visited, they provide various companies with information about popular areas of interest where applicable. This information is used to further optimize sites. Most browsers are set to accept cookies by default. You can set your browser to refuse cookies or to alert you when cookies are being sent. However, with this setting, some parts of the site may not function or may not function properly.

Amendment, access and modification of data:

As of the new AVG as of May 25, 2018, you have the right to view, correct or delete your personal data.

You can always view your own (personal) data and, if necessary, change it in your account. If you want to see the personal data recorded at Hybrid Offices, you can make a request for inspection at info@hybridoffices.nl.

If you want to make changes to your personal data that you have seen as a result of a request for inspection and that you cannot change yourself in the account, you can request this from Hybrid Offices. You may request in writing or by email that Hybrid Offices amend, correct, supplement, delete or block your information.

A request can be sent to info@hybridoffices.nl. Hybrid Offices will comply with your request as soon as possible and in any event no later than one (1) month after Hybrid Offices receives such request. If Hybrid Offices denies your request, we will indicate in our response why the request is denied.

Secure personal data: *(very personal)

Hybrid Offices takes the protection of your data seriously and takes appropriate measures to prevent abuse, loss, unauthorized access, unwanted disclosure and unauthorized modification. The Hybrid Offices website uses a reliable SSL Certificate to ensure that your personal information does not fall into the wrong hands.

Hybrid Offices processes personal data in an administration system which cannot be accessed by anyone other than the administrator or for which a separate sub-processor agreement has been concluded with the supplier of the software. Here, too, a security procedure applies for only authorized persons in accordance with the guidelines of the Personal Data Authority.

Internal checks of our policies and security measures are part of periodic checks regarding the collection, storage and processing of data, also physical security measures as protection against unauthorized access to systems on which we store personal data.

Can this Privacy Statement be changed?

This Privacy Statement is subject to change. We therefore advise you to check the Privacy Statement regularly for any changes.
